Keep a detailed source record, then map it to the current APPIC AAPI Hours Tracking Guide with your director of clinical training. Separate completed from anticipated experience and check each site's current requirements. Applicant statistics are not qualification thresholds.

Use the current guide before designing your spreadsheet

Start with the APPIC AAPI applicant page. It links the AAPI Practicum Hours Tracking Guide, Version 1.0 (September 2026), and applicant help resources. Bring category questions to your director of clinical training, often called the DCT, using the current guide rather than an old spreadsheet passed between cohorts.

Use the current guide and your program's instructions for exact definitions, reporting boundaries, and cutoff rules. Save the guide version with your category notes so you can explain how you classified an activity.

Keep enough detail to classify the activity accurately

To correct a total later, you need the entries behind it. Keep the date, actual minutes, activity description, training site, and relevant supervisor relationship for each entry. Preserve distinctions that the current guide and your program need for reporting. For AAPI reporting, page 4 of the guide rounds each activity up to a 15-minute interval; retain the actual minutes in your underlying record.

Use intervention, assessment, supervision, and support as planning labels while you establish the exact mapping. Do not assume every activity that sounds like one of those labels belongs in its AAPI counterpart. When a category is unresolved, keep a neutral description and a question for review. Do not include client identifiers or clinical narratives in the personal hours record.

Separate what happened from what you expect to happen

Keep completed experience distinguishable from anticipated experience. A placement schedule describes planned work; it does not establish that the work occurred. Cancellations, changes in duties, and supervision changes can make the actual record different from the original plan.

Maintain anticipated figures as a separate planning view with clearly stated assumptions. The guide's Hours Accrual Deadline section (page 3) places hours through September 30 of the application year in the accrued total; work expected from October 1 onward belongs in Anticipated Practicum Experience. Do not merge projected activity into completed totals to make a single progress number. You should be able to trace each reported figure to completed entries or a labeled projection.

Review the mapping before application season

Arrange a category review early enough to correct your system without reconstructing months of entries. Bring a small set of representative, nonidentifying activity descriptions and ask how the current guidance applies. Save the resulting mapping with the guide version and the scope of the answer.

Regularly compare your entries with the record your program requires. Check duplicate entries, missing supervision, overlapping durations, and inconsistent site labels. When you make a correction, preserve enough context to explain it. If you change an activity's category, add a dated administrative note explaining the correction.

Read site requirements separately from applicant statistics

Application requirements differ among internship sites. Review each site's current materials and keep its stated requirements separate from your own summary. If wording is unclear, record the question and resolve it through the appropriate application or program channel.

APPIC cautions that aggregate applicant statistics are not benchmarks or thresholds that predict match success. Do not turn an average into a personal eligibility rule. Use your own records to describe completed experience, and assess site fit with your program using the information each site provides.

Create a reviewable report and preserve its source

Before transferring figures into an application, save a dated snapshot of the underlying record and the summary you intend to use. Confirm that the reporting period, completed/anticipated distinction, and category mapping match the current instructions. Check that corrections made during review appear in the final figures.

Keep your submitted application copy and the supporting record together, following your program's requirements.
